How to Manage Calls Effectively with Spedsta’s Web-Based Phone Dispatch
Hello, I’m from SPEDSTA, and today I’m here to guide you through our Virtual Phone Dispatcher module—an essential tool for managing your dispatch operations seamlessly. This tutorial will demonstrate the functionality of this innovative module designed to streamline your communication processes. Click HERE for a video walkthrough.
Our Virtual Phone Dispatcher module enables you to set up profiles within SPEDSTA, allowing the forwarding of incoming calls to various dispatchers within your organization. This capability is crucial for those with remote dispatchers working from different locations, enhancing flexibility and ensuring continuity in your operations.
You can assign specific times for dispatchers, such as from nine to twelve for one dispatcher and twelve to four for another, directly through their accounts. This ensures calls are seamlessly transferred to their home or mobile numbers, maintaining a professional service experience for your passengers.
Moreover, our system supports extensions, allowing calls to be directed to the appropriate person immediately. For after-hours service, calls can be set to go directly to voicemail, ensuring that no critical information is missed. Voicemails are transcribed and sent via email to both the dispatcher on duty and the administrator, along with an MP3 of the original message.
Setting up is straightforward: manage main greetings, configure dispatcher settings, and adjust call routing as needed—all from your admin dashboard. Remember, this system is designed to enhance your operational efficiency without overwhelming your team.
